Job Title: Administrative Assistant
Location: Dubai - UAE
Reports To: Executive Team
Job Type: Full-time / Part-time

Job Summary:
The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role is responsible for a variety of tasks including scheduling meetings, handling correspondence, maintaining filing systems, and supporting staff with day-to-day administrative functions.

Key Responsibilities:
Manage and organize schedules, appointments, and meetings for executives or department heads.

Prepare and edit correspondence, reports, memos, and presentations.

Answer and direct phone calls; manage emails and other communications.

Maintain and organize physical and digital filing systems.

Order office supplies and manage inventory.

Assist in planning and coordinating company events, meetings, and conferences.

Greet and assist visitors, ensuring a professional and friendly front-office presence.

Handle confidential information with integrity and discretion.

Perform data entry and maintain various databases.

Support other staff with administrative and clerical tasks as needed.

Qualifications and Skills:
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

Proven experience as an administrative assistant or in a related role.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Excellent verbal and written communication skills.

Strong organizational and time-management abilities.

Attention to detail and problem-solving skills.

Ability to work independently and collaboratively in a fast-paced environment.

Professional demeanor and strong interpersonal skills.

Preferred Qualifications:
Familiarity with office management systems and procedures.

Experience using scheduling tools or administrative software (e.g., Google Workspace, SAP, CRM platforms).

Knowledge of record-keeping and basic bookkeeping practices.
