About the Role:
We are seeking a highly organized and proactive Admin Secretary to provide comprehensive administrative and secretarial support to the General Manager (GM). This role is vital for maintaining firm control management by ensuring all administrative functions, doentation, communication, and scheduling are handled efficiently. The Admin Secretary will play a key role in supporting the GM in overseeing the firm operations and ensuring that all activities are executed smoothly and within the defined timelines.
Key Responsibilities:
Provide administrative and secretarial support to the GM.
Manage and organize the GM’s schedule, meetings, and travel arrangements.
Handle correspondence, including emails, phone calls, and memos, ensuring effective communication across all parties.
Organize and facilitate meetings, take minutes, and ensure action items are followed up promptly.
Maintain accurate records, files, and databases related to project activities, contracts, and agreements.
Assist in establishing and maintaining firm control management systems ensuring smooth coordination and timely execution of administrative tasks.
Track and manage office resources, materials, and doentation flow to support project progress and control.
Support procurement and vendor management processes to ensure timely delivery of materials and services, contributing to the firm control of project activities.
Filing, archiving, and the maintenance of contracts, invoices, and other project-related doents.
Collaborate closely with the project team to track deadlines, action items, and ensure firm management of all administrative processes.
Perform other duties as assigned by the GM.
Qualifications & Skills Required:
Minimum of 2 years of experience as an Admin Assistant, Secretary, or similar role, preferably in the construction industry.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Exceptional communication skills, both written and verbal.
Ability to work independently with minimal supervision while maintaining a high level of confidentiality.
Detail-oriented with a proactive approach to problem-solving.
Experience in managing doentation, contracts, and office logistics related to construction projects is a plus.
Familiarity with construction project processes and terminology.
Ability to maintain a professional and calm demeanor when handling sensitive situations.
