Job Description

Job Scope:
The Bilingual Executive Secretary will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. She will organize and maintain the executive schedule and assist them by performing a variety of administrative tasks. The Job holder will follow up daily routines and report to the head of department.

Job Responsibilities:
•Manage the dai agenda and arrange new meetings and appointments
•Prepare and disseminate correspondence, memos and forms
•File and update contact information of employees, customers, suppliers and external partners
•Support and facilitate the completion of regular reports
•Develop and maintain a filing system
•Check frequently the levels of office supplies and place appropriate orders
•Make travel arrangements
•Maintain executive s agenda and assist in planning appointments, board meetings, conferences etc.
•Attend meetings and keep minutes.
•Receive and screen phone calls and redirect them when appropriate
•Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, etc.)
•Handle confidential doents ensuring they remain secure
•Answer phone calls and redirect them when necessary
