Job Description

We are looking for a young & experienced Executive Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. The candidate will work closely with the President & CEO and / or Managing Director of the company.



Main Responsibilities:



1. Provide full support for the President and / or Managing Director on a variety of tasks and different project as when required;

2. Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the President's a Managing Director’s behalf;

3. Make travel, airlines, visa and hotel arrangements;

4. Manage the President's a Managing Director's calendar, maintain diary arrange meetings and appointments and provide reminders;

5. Produce doents, briefings, reports & presentations;

6. Deal with incoming emails and correspond in behalf of the President a Managing Director if required;

7. Maintains confidentiality and uses a high degree of discretion;

8. Take instructions through flexible communication channels including Whatsapp;

9. Research and purchase items as requested;

10. To do sourcing for projec and products when needed;

11. Act as a liaison between the management and other senior executives or corporate officers.


Candidate Requirements

1. Must have 3-5 years of experience as CEO and / or Managing Director’s Executive Assistant;

2. Must be a B.B.A. Business Graduate but preferably with an MBA;

3. Age 35 years old and below;

4. Confident, mature and strong communication skills;

5. Excellent oral & written communication;

6. Exceptional organizational skills, good in filling and ability to multitask;

7. Time management skills and ability to meet deadline;

8. Ability to finish tasks smoothly on his own;

9. Proficient in Microsoft office, Microsoft excel and any other software;

10. Pro-active & problem solver;

11. Will be able to act on urgent instructions after office hours when needed;

12. Must have an ability to answer management emails on his own and having shorthand using word abbreviations when having dictation;

13. Ability to remind the management of their meetings and helping them in tasks and time management;

14. With an outstanding typing skil;

15. Ability to share calendar, appointments through google;

16. With full knowledge of Zo Teams calls and arranging scheduled invitations.
