We are looking for an & experienced Executive Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. The candidate will work closely with the Chairman of the company.
Main Responsibilities:
1. Provide full support for the Chairman on a variety of tasks and different project as when required;
2. Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the Chairman’s behalf;
3. Make travel, airlines, visa and hotel arrangements;
4. Manage the Chairman’s calendar, maintain diary arrange meetings and appointments and provide reminders;
5. Produce doents, briefings, reports & presentations;
6. Deal with incoming emails and correspond in behalf of the Chairman if required;
7. Maintains confidentiality and uses a high degree of discretion;
8. Take instructions through flexible communication channels including Whatsapp;
9. Research and purchase items as requested;
10. To do sourcing for projec and products when needed;
11. Act as a liaison between the management and other senior executives or corporate officers.
12. Manage Chairman’s properties in Dubai, rentals & sales;
13. Attends relevant exhibitio shows whenever required.
Requirement & Qualifications:
1. Must have 3 years minimum of experience as Chairman’s Executive Assistant;
2. Confident, mature and strong communication skills;
3. Excellent oral & written communication;
4. Exceptional organizational skills, good in filling and ability to multitask;
5. Time management skills and ability to meet deadline;
6. Ability to finish tasks smoothly on his own;
7. Proficient in Microsoft office, Microsoft excel and any other software;
8. Pro-active & problem solver;
9. Will be able to act on urgent instructions after office hours when needed;
10. Must have an ability to answer management emails on his own and having shorthand using word abbreviations when having dictation;
11. Ability to remind the management of their meetings and helping them in tasks and time management;
12. With an outstanding typing skil;
13. Ability to share calendar, appointments through google;
14. With full knowledge of Zo Teams calls and arranging scheduled invitations.
