1. Recruitment & Onboarding
Assist in preparing job postings and uploading vacancies across recruitment platforms.
Screen and shortlist CVs based on job requirements.
Coordinate interview schedules between candidates and department heads.
Conduct initial communication with candidates, including invitation to interviews and follow-ups.
Prepare offer letters, appointment letters, employment contracts, and pre-employment forms.
Coordinate new employee onboarding, welcome orientation, and assignment of equipment and access cards.
Create and maintain employee personnel files, ensuring all required doents (passport, visa, certificates, photographs) are complete.
2. HR Administration
Maintain updated employee records in both digital and physical formats.
Track attendance, leaves, sick days, off days, and overtime; prepare monthly attendance reports.
Assist in preparation of payroll-related inputs such as allowances, deductions, leave encashments, and overtime.
Coordinate medical insurance additions, deletions, and updates.
Assist in processing visas, labour contracts, Emirates IDs, and related government applications through PRO.
Prepare HR letters such as salary certificates, employment verification, and NOC letters.
Support the HR Manager in implementing HR policies and company guidelines.
3. Employee Relations & Support
Handle employee inquiries about HR policies, leave requests, and general HR procedures.
Support the grievance and disciplinary process by doenting complaints and preparing letters.
Assist in monitoring staff performance by maintaining evaluation schedules and reminders.
Coordinate training sessions, workshops, and staff development programs.
Assist in organizing staff events, celebrations, team-building activities, and internal communication campaigns.
Promote a positive and supportive working environment by maintaining professionalism and empathy.
4. Administrative & Office Support
Maintain office supplies inventory and place orders when necessary.
Manage incoming and outgoing correspondence, including emails, courier packages, and official doents.
Prepare meeting schedules, record minutes, and follow up on pending tasks.
Organize travel arrangements including flights, hotel reservations, and transportation for staff or visitors.
Maintain the cleanliness and orderliness of the office environment in coordination with admin support staff.
Assist in procurement of office equipment, maintenance requests, and coordination with service providers.
Ensure proper filing systems are maintained for contracts, doents, and confidential records.
5. Compliance & Reporting
Ensure HR practices comply with UAE Labour Law and company regulations.
Assist in preparing reports for management, such as manpower status, recruitment progress, attendance, and leave analysis.
Support internal audits by preparing required HR doents and reports.
Maintain confidentiality of all employees and company data at all times.
