Job Summary:

The Office Assistant will provide essential administrative support to ensure efficient and effective office operations. The ideal candidate will be a well-organized, self-motivated individual with a keen attention to detail. This role involves a variety of clerical tasks, assisting different departments as needed, and helping maintain a professional and welcoming office environment.

Key Responsibilities:

Administrative Support:

Perform general clerical duties, including photocopying, scanning, and filing.
Answer and direct phone calls, take messages, and handle inquiries.
Sort and distribute incoming mail and manage outgoing correspondence.
Office Management:

Maintain office supplies inventory by checking stock and placing orders as needed.
Assist in the maintenance of office equipment and arrange for repairs when necessary.
Keep the office tidy and organized, ensuring a neat workspace.
Support for Teams and Departments:

Provide administrative support to various departments, including scheduling meetings and preparing doents.
Assist with data entry, database management, and updating records.
Help coordinate company events, meetings, and appointments.
Customer and Visitor Interaction:

Greet and assist visitors, ensuring a positive and professional impression.
Provide customer support and information as required.
Maintain the reception area, ensuring it is welcoming and presentable.
Miscellaneous Tasks:

Assist in preparing and organizing reports, presentations, and correspondence.
Support the management team with various ad hoc tasks and projects.
Undertake other office duties as assigned to support the smooth running of the office.
Qualifications:

High school diploma or equivalent; additional qualifications in Office Administration or related fields are a plus.
Previous experience in an office assistant or administrative role is preferred.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team.
