Job Overview
We are seeking a presentable, professional, and highly organized female Receptionist Executive Secretary to manage front-desk operations and provide high-level administrative and secretarial support to the Managing Director (MD).
The MD travels frequently within and outside the country for international business meetings; therefore, the role requires excellent communication skills, discretion, coordination ability, and strong follow-up capabilities.
Receptionist Responsibilities
Act as the first point of contact for visitors, clients, and partners.
Greet guests professionally, ensure a welcoming office environment, and manage visitor protocols.
Handle incoming calls, emails, and inquiries; direct them appropriately.
Maintain reception area cleanliness, organization, and brand presentation.
Manage courier services, incomi mail, and doent handling.
Coordinate meeting room bookings, guest access, and refreshments.
Maintain visitor logs and front-office records.
Executive Secretary to Managing Director
Provide direct administrative and secretarial support to the Managing Director.
Manage the MD’s calendar, appointments, meetings, and international travel schedules.
Coordinate flight bookings, hotel reservations, visas, itineraries, and travel doentation.
Draft, format, and manage emails, letters, reports, presentations, and confidential doents.
Act as a communication bridge between the MD and international clients, partners, and internal teams.
Follow up on action items, commitments, and business communications on behalf of the MD.
Prepare meeting agendas, minutes of meetings (MoM), and post-meeting follow-ups.
Handle sensitive and confidential information with the highest level of discretion.
Assist in coordination of international client meetings, events, and official visits.
Maintain proper filing systems (digital and physical) for executive doentation.
Preferred Candidate Profile
Female candidate aged between 27–30 years
Nationality preference: Lebanon, Russia, Morocco, Armenia, or Georgia
Well-groomed, professional, and confident demeanor
Prior experience as a Receptionist, Executive Secretary, or Personal Assistant in a corporate or tech environment is an advantage
Experience handling international clients and senior management support is highly preferred
Required Skills & Competencies
Fluent English (spoken & written) – mandatory
Excellent interpersonal, communication, and coordination skills
Strong organizational and multitasking ability
High level of professionalism, discretion, and confidentiality
Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
Ability to work independently and handle pressure
Strong follow-up and time-management skills
Presentable personality with a polished corporate appearance
