Job Description

Reception Duties:

Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
Answer and direct incoming phone calls to the appropriate person or department.
Manage the reception area, ensuring it is clean, organized, and presentable at all times.
Handle incoming and outgoing mail, packages, and deliveries.


Administrative Support:

Assist with scheduling appointments, meetings, and conference calls.
Maintain office supplies inventory, placing orders as necessary.
Prepare and format doents, reports, and presentations.
Manage office correspondence, including emails, letters, and memos.


Office Management:

Maintain and update office records, files, and databases.
Coordinate office events, meetings, and conferences.
Assist in onboarding new employees, including setting up workstations and providing necessary information.
Ensure the office complies with company policies and procedures.


Customer Service:

Provide information to visitors and callers regarding the company, its services, and general inquiries.
Raise support tickets on customer issues and coordinate with technical team to close.
Address and resolve customer inquiries and issues promptly and professionally.


Other Duties:

Assist in organizing and coordinating travel arrangements for staff as needed.
Support various departments with ad-hoc tasks and projects.
Ensure compliance with health and safety regulations in the office.


Candidate Requirements

High school diploma or equivalent; additional qualifications in Office Administration are a plus.
Proven experience as a Receptionist, Office Administrator, or similar role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong communication and interpersonal skills.
Ability to multitask, prioritize, and manage time effectively.
Excellent organizational skills and attention to detail.
