About the Role:
We are seeking a highly organised, professional, and proactive Secretary to provide comprehensive administrative and secretarial support to our team. This critical role serves as a key point of contact, managing essential communications and ensuring the smooth flow of daily administrative tasks, with a particular focus on handling all incoming and outgoing calls and emails.
Key Responsibilities:
Communication Management:
Answer, screen, and direct incoming calls in a professional and efficient manner.
Serve as the first point of contact for clients, partners, and visitors via phone.
Manage incoming and outgoing correspondence, including physical mail and all email traffic.
Sort, prfioritize, and distribute emails and mail as required.
Draft, format, and proofread emails, letters, reports, and other doents.
Administrative Support:
Maintain and manage executive calendars and schedules.
Schedule and coordinate meetings, including room bookings and necessary preparations.
Maintain organised physical and electronic filing systems.
Handle confidential information with the utmost discretion and professionalism.
Order office supplies and maintain inventory.
Assist with coordinating travel arrangements if required.
Perform other general administrative duties as assigned.
Liaison:
Act as a liaison between team members and intern stakeholders.
Maintain polite and professional communication via phone, email, and mail.
Required Skills and Qualifications:
Proven experience (minimum 2-3 years) as a Secretary, Administrative Assistant, or in a similar support role.
Exceptional verbal and written communication skills.
Excellent organisational and time management abilities, with the capacity to multitask and prioritize effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong attention to detail and problem-solving skills.
Ability to maintain confidentiality and exercise discretion.
Professional and positive demeanor.
Preference for Ukrainian Nationality:
