Duties & Responsibilities:
Manage and proactively maintain complex diaries and meeting schedules for CEO and relevant Executives; confirm attendees, agendas and logistics; issue reminders and follow-ups.
Prepare and coordinate meeting packs, briefings and presentations (PowerPoint), including consolidating inputs from multiple stakeholders.
Draft and coordinate internal and external correspondence (emails, letters, agendas, minutes) based on directi; ensure a professional tone and accuracy.
Take accurate minutes, track actions, and maintain an action log to ensure timely follow-through and closure of deliverables.
Act as a key point of contact for the CEO Office; manage calls, visitors, and stakeholder interactions with professionalism and discretion.
Coordinate complex travel, visas, accommodation, and itineraries; prepare travel packs and ensure changes are managed seamlessly.
Support office and executive administration including doent control, filing, archiving, and maintaining databas in line with company policy (e.g., MoA, licenses, official doents, passport copies).
Assist with light project coordination for CEO Office initiatives: timelines, status updates, dependency tracking and escalations where needed.
Coordinate workshops, leadership meetings and executive events (venues, invites, materials, catering, attendance tracking).
Support onboardi logistics for executives and key hires in collaboration with CEO Office Manager, HR and relevant departments.
Maintain strict confidentiality across all information, communications, and stakeholder matters.
Perform other and administrative tasks as entrusted by the CEO Office - Manager, and provide support to the CEO as required.
