Job summary
<br />The Senior Executive Personal Assistant conserves the Vice Chairman's time and promotes the organization by representing the Vice Chairman's internally and externally; providing liaison between the Vice Chairman's, key executives, stakeholders, departments and employees.
<br />Key responsibilities
<br />Managing the Office in a highly professional and efficient manner
<br />Shape the priorities and focus of the Vice Chairman
<br />Ensure the Vice Chairman is prepared for key meetings and interactions, conduct necessary background research on related topics. Provide executive summaries as necessary
<br />Proactively ensure time is used efficiently and balance competing demands and obligations
<br />Act as the first point of contact for all internal and external colleagues and stakeholders
<br />Relieving the Vice Chairman(VC)'s of any management of administration where possible
<br />Maintaining the VC's diary, arranging appointments and responding to invitations on their behalf
<br />Having an understanding of the related projects and objectives to allow to make educated decisions when required
<br />Manage two way flow of information
<br />Update and chase actions and tasks to ensure progress is made in accordance with deadline
<br />Screening and where appropriate, handling or redirecting incoming telephone calls and visitors
<br />Sorting, distributing and responding or drafting responses to incoming mail
<br />Creating, formatting and progressing Memos and Letters
<br />Maintaining accurate, comprehensive and accessible manual and electronic filing systems
<br />Perform any other duties assigned by the supervisor directly related or relevant to the job
<br />Ensure the assigned responsibilities are delivered to a high standard of quality and timeliness and in line with any standards and objectives designated in the Employee Performance Management system
<br />
<br />RequirementsEducation and certifications
<br />Bachelor Degree
<br />Certification in MS Office Suite is an advantage
<br />Experience and skills
<br />Minimum 10 years working experience as a personal assistant or similar position
<br />Typing speed of minimum 40 words per minute
<br />Previous experience of working in the region and knowledge of local culture would be an advantage
<br />Effective telephone skills
<br />Strong communication skills both verbal and written
<br />Fluent English & Arabic is essential
<br />Strong computer skills
<br />Maintaining confidential and sensitive information
<br />
