Seven Tides Property Management is seeking an assertive, creative, and inquisitive Senior Property Administrator to join our growing team. We are seeking someone with an entrepreneurial mindset with 3+ years of property experience.
Checking all the required doen submitted and preparing payment summary for the tenant
Preparing and printing contracts with supporting doents to be signed by the tenant
Filing, scanning and uploading all the doents that we have received or given to the client
Salesforce administration – run the SF leasing process from A to Z, adding all doents to related leases
Lead management – adding received leads to SF with comments and commitment dates
Ensure a timely and efficient update of all records on property management software including:
oPubli units including upload of tenant doents
oTenant contracts
Implementing an accurate database and filing system to maintain records of all departmental correspondence, doents and reports
Updating, maintaining and storing departmental and individual employee files and departmental doents in a confidential manner for doentation and record purposes ensuring easy retrieval
Assisting employees with requests on certificates, letters, and salary advance, leave / business, to ensure all administrative support is offered to staff timely and efficiently
Coordinating training nominations for all employees and communication with staff and the Training Section for successful training programs for employees
Handling all internal and external correspondences for the department, ensure follow up and dispatch of the same
Typing of internal correspondence, memos, reports, preparation of presentations seeking inputs from the respective team members
Coordinating and scheduling departmental meetings, prepare meeting agenda, follow up on attendance and record minutes of meeting
Offering general administrative support to Manage members in various projects as and when required
Following up on messages, issues and carry out various administrative tasks through effective coordination thus ensuring completion
Preparation of request for consumables, verification of delivery receipts , follow up on ordering and outstanding short supplied items, ensuring stock levels are monitored in a timely manner and appropriate log is kept on items
Maintaining stationa inventory and records and petty cash flow to ensure that adequate supply of items are maintained at all times
Requirements:
Computer literacy in MS Office – Word and Excel, knowledge in using fax, scanner, photocopier etc
Minimum Experience: 3+ years of experience in property administration field
Job-specific Skills: Telephone Etiquette, Advanced Business English communication and writing skills
