We are seeking a highly organized and reliable Administrative Assistant to join our team. The ideal candidate will be a proactive problem-solver with excellent communication skills, capable of managing a variety of administrative tasks in a fast-paced environment. This role will provide essential support to our team and contribute to the efficient operation of the office.
Key Responsibilities:
General Office Support: Perform general office duties including filing, answering phones, handling correspondence, handling guests and managing schedules.
Calendar Management: Coordinate meetings, appointments, and travel arrangements for the team or leadership.
Data Entry & Doent Management: Organize, maintain, and update files, databases, and records accurately and efficiently.
Customer Service: Greet visitors, answer inquiries, and direct calls to appropriate personnel, ensuring excellent customer service.
Communication: Draft and proofread internal and external communications, emails, and reports.
Supplies & Equipment: Monitor and maintain office supplies and equipment, ordering when necessary.
Project Assistance: Assist with project coordination and tracking, including organizing meetings and preparing materials.
Other Administrative Tasks: Provide general administrative support as needed to ensure smooth day-to-day office operations.
Qualifications:
Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Experience: At least 1-2 years of experience in an administrative or office support role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with office equipment (printers, copiers, fax machines).
Communication Skills: Strong written and verbal communication skills.
Attention to Detail: Ability to work accurately and efficiently with minimal supervision.
Organization: Strong time management and organizational skills with the ability to prioritize tasks effectively.
Interpersonal Skills: Positive, professional demeanor with the ability to interact with employees and clients at all levels.
