Role Overview:
As the General Administrator Accountant, you will play a pivotal role in supporting the overall administrative, financial, and sales operations of "Uniformsly by the House of Uniforms." This position involves managing financial transactions, basic HR functional activities, facility management, and providing essential support to the sales team for smooth operations.
Roles and Responsibilities:
Financial Management:
•Handle accounts payable and receivable processes, ensuring accurate and timely payment processing and invoicing.
•Maintain the general ledger, journal entries, and reconciliations of bank statements with precision and attention to detail.
•Prepare financial reports, including profit and loss statements, balance sheets, and cash flow statements, to provide insights into the company's financial health.
•Perform financial analysis and forecasting to support decision-making and budget planning.
Facility Management:
•Oversee facility maintenance and ensure the office environment is safe, clean, and conducive to productivity.
•Coordinate repairs and maintenance of office equipment and infrastructure.
•Manage relationships with office vendors and service providers.
Basic HR Functions:
•Assist with employee onboarding and offboarding processes, ensuring a smooth transition and adherence to company policies.
•Maintain and update employee records, including attendance, leave, and personal information, to ensure accurate HR data management.
•Facilitate employee benefits administration and collaborate with external providers to ensure employees' well-being.
Administrative Support:
•Manage office supplies and equipment inventory, ensuring an adequate stock level to support daily operations.
•Handle travel arrangements and accommodation bookings for staff, demonstrating excellent organizational skills.
•Assist in scheduling meetings and managing the company calendar to optimize time management.
•Coordinate office events and celebrations.
Sales Support:
•Prepare quotations for customers, ensuring accuracy and timely delivery.
•Follow up with customers on overdue payments and coordinate with the finance team for collections.
•Process payments to suppliers and vendors in accordance with payment terms.
•Place orders for inventory and raw materials, keeping track of stock levels.
•Coordinate with drivers for the purchasing schedule and ensure timely delivery of orders.
Compliance and Audit:
•Ensure compliance with financial, HR-related regulations, laws, and company policies to uphold legal and ethical standards.
•Assist in preparing for external audits, maintaining accurate doentation for seamless audit processes.
Qualifications and Skills:
•Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
•Proven experience in accounting and financial management, preferably in a similar role within the retail or e-commerce industry.
•Basic knowledge of HR practices and procedures, with experience in handling payroll.
•Proficiency in using accounting software and Microsoft Office Suite (Excel, Word, PowerPoint).
•Strong attention to detail and accuracy in financial and administrative tasks.
•Excellent organizational and time management skills to manage multiple responsibilities effectively.
•Effective communication and interpersonal abilities for collaborating with team members and external partners.
•Ability to work independently and as part of a team, ensuring efficient task completion.
•Familiarity with relevant financial and HR regulations and compliance requirements within the e-commerce sector.
