Position Overview:
As an Administrative Assistant at BizDesign , you will play a pivotal role in supporting our customers with excellent communication skills and ensuring the smooth operation of daily administrative tasks. You will be responsible for managing office activities, coordinating schedules, and facilitating communication within the organization and with external stakeholders. Key Responsibilities:
Administrative Support:
Provide administrative assistance to consultants, including scheduling meetings, managing calendars, and arranging travel itineraries.
Prepare and edit doents, presentations, and reports as required, ensuring accuracy and adherence to company standards.
Handle incoming calls, emails, and correspondence, responding promptly and professionally.
Maintain office supplies inventory and ensure proper functioning of office equipment.
Client Interaction:
Serve as the primary point of contact for clients, delivering exceptional customer service and addressing inquiries or concerns promptly and courteously.
Assist in organizing client meetings, conferences, and events, including logistical arrangements and preparation of materials.
Data Management:
Organize and maintain electronic and physical filing systems, ensuring doents are easily accessible and confidential information is safeguarded.
Assist in data entry, record-keeping, and database management tasks to support project requirements and client engagements.
General Office Operations:
Oversee general office operations, including managing incoming and outgoing mail, handling courier services, and coordinating office maintenance and repairs.
Support HR functions such as onboarding new hires, maintaining employee records, and assisting with payroll processing.
Qualifications:
Proven experience as an administrative assistant, office administrator, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Excellent organizational and time management skills, with the ability to prioritize tasks and work efficiently under pressure.
Strong interpersonal and communication skills, both written and verbal.
Discretion and confidentiality in handling sensitive information.
Ability to adapt to changing priorities and multitask effectively.
Bachelor's degree in business administration, office management, or a related field preferred.
