Job Description

Successful Applicant will be assigned in Amman, Jordan.

General Duties:

The Executive Assistant provides administrative support to the Director of Operations (DOO). To be successful in this position, the candidate must be results oriented and have demonstrated ability to effectively prioritize workflow.

Primary responsibilities:

· Coordinate the DOO’s schedule, appointments, reservations, and travel arrangements

· Prepare agenda and collect materials for meetings and conferences

· Liaise and coordinate with departments in order to communicate not requested by the DOO

· Prepare correspondences including emails on behalf of the DOO, including drafting replies

· Receive, review and sort all incoming correspondences via mail, faxes, and emails

· Prepare confidential and sensitive documents

· Relay directives, instructions, and assignments to staff

· Establish and maintain various filing and record management systems

· Maintain comprehensive and accurate records

· Perform minor accounting duties

· Perform related work as assigned by the DOO

· Assist in communication of staff in Jordan with staff or customers

· Support PEIC’s international offices, in terms of reporting and communication

· Track certain expenses as required by the DOO

· Prepare reports (daily, weekly, monthly) and prepare report analysis as requested by the DOO

· Manage other staff if needed to prepare reports and analysis

· Simple project management and oversight

· Answering phone calls in a polite and professional manner


Candidate Requirements

Ideal Skills and Qualifications:

ü Fluent in English both oral and written

ü A Bachelor’s degree or equivalent combination of education and experience

ü Minimum 3 years as Secretary or Administrative position

ü Strong PC skills i.e. Word, Excel, PowerPoint and MS Outlook

ü Extremely detail oriented and organized

ü Excellent interpersonal, written, and oral communication skills

ü Ability to exercise good judgement, show initiative, and be proactive

ü High standards of ethics and confidentiality to handle sensitive information
