Job Summary:
The Global Limo is seeking a highly organized and service-driven Reservation and Client Coordinator to join our team. This role is central to delivering seamless, first-class experiences to our clients. As the primary point of contact for inquiries and reservations, you’ll manage client bookings, ensure exceptional service delivery, and foster a luxury experience that reflects our brand’s standards. Key Responsibilities:
Reservation and Client Management:
· Serve as the main point of contact for clients, handling reservation inquiries across multiple communication channels (phone, email, online).
· Process reservations with accuracy, ensuring all details align with client requirements, preferences, and special requests.
· Provide timely updates and confirmations to clients, ensuring each interaction enhances their experience with The Global Limo.
Client Relations and Communication:
· Build and maintain strong client relationships through personalized and attentive service, addressing inquiries, concerns, or last-minute adjustments with professionalism and care.
· Maintain real-time communication with clients regarding schedule updates, arrival times, and any relevant changes to their reservations.
· Ensure that all interactions reflect our luxury standards, enhancing the client experience from start to finish.
Scheduling and Coordination:
· Coordinate with the operations team to manage scheduling and ensure optimal assignments for drivers and vehicles.
· Monitor resource availability to accommodate demand and special requests, maintaining a smooth flow of operations and exceptional service quality.
· Distribute daily schedules and reservation details to drivers, ensuring everyone is prepared and aligned with the day's requirements.
Administrative and Reporting Duties:
· Keep accurate records of all reservations, client interactions, and modifications in our system for internal tracking and quality assurance.
· Prepare reports on reservation trends, client feedback, and operational insights to support continuous improvement.
· Ensure all administrative tasks are completed efficiently to maintain a seamless booking experience and uphold our commitment to excellence.
Quality Control and Experience Enhancement:
· Actively seek client feedback to identify areas for improvement, partnering with the team to address concerns and refine every aspect of the client journey for a consistently exceptional experience.
· Adhere to luxury service standards and contribute to initiatives that elevate The Global Limo’s brand and reputation.
· Participate in training sessions to stay up to date on luxury service practices, enhancing personal skills and supporting the company’s mission to deliver unforgettable experiences.
Requirements:
· Proven experience in a client relations, reservation, or customer service role, ideally within a luxury, travel, or hospitality setting.
· Exceptional verbal and written communication skills, with an emphasis on professionalism, discretion, and responsiveness.
· Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
· Familiarity with CRM and reservation software; proficiency in booking platforms is a plus.
· Willingness to work flexible hours, including weekends and holidays, as required to meet client demands.
· A client-first mindset with a proactive approach to solving problems and exceeding expectations.
Preferred Qualifications:
· Previous experience in a luxury transportation, travel, or hospitality company.
· Multilingual proficiency to better serve an international clientele.
· Impeccable interpersonal skills with a warm, professional demeanor.
